Set up a live talk

Use a live talk when your session should happen in real time. HeySummit can connect attendees to a webinar or meeting, send them to an external URL, or play a live stream on the talk page.


Choose how attendees should join

  • Live Webinar: connect a supported Webinar Platform Host when you want HeySummit to create or manage the session through that provider.

  • Send to an External URL: use this when the live session already exists elsewhere and attendees should leave the HeySummit talk page to join it.

  • Live Stream: use a supported stream or custom embed when attendees should watch on the HeySummit talk page while the video is managed elsewhere.


Set up the talk

  1. From your dashboard, go to Content > Talks.

  2. Open the ... menu beside the talk, then choose Manage Talk.

  3. Choose Live Webinar or Live Stream, then select the provider or delivery option that matches the attendee experience.

  4. Complete the provider or URL fields, save the talk, and test the attendee join flow.


Check capacity and provider requirements

  • HeySummit does not include a third-party webinar account, provider licence, recording allowance, or paid provider subscription.

  • Your provider controls its own host permissions, attendee capacity, recording features, and concurrent-session limits.

  • Your HeySummit registration allowance is separate from the number of people who can join one provider session at the same time.


Configure reminders and speaker join links

  • When speaker broadcast reminders are enabled, HeySummit sends speakers reminder emails about 24 hours and 1 hour before the talk.

  • A connected webinar provider can supply the speaker join URL. Use Custom Speaker Join URL when speakers should use a different presenter or backstage link.

  • Attendees who are registered for the talk and have talk reminders enabled receive reminder emails about 1 hour and 10 minutes before it starts.



Test before the talk goes live

  • Open the public talk page as an attendee and confirm the Watch Now action opens the intended session or stream.

  • Test the host and speaker links with the same roles and provider permissions you will use on the day.

  • Confirm the provider's capacity, recording settings, waiting-room behaviour, and attendee registration requirements.

  • Join early enough to check microphone, camera, screen sharing, and the attendee view.
