Help speakers join a live talk

Set the correct join link, keep speaker reminders enabled, and share a backup link before the talk.

A speaker's join path depends on how the talk is being delivered. Configure the broadcast before the event, keep the speaker's email address on their profile, and test the same setup you will use on the day.


Prepare the speaker's join link

  • Native webinar: HeySummit stores the provider's speaker or panellist link for each person assigned to the talk.

  • Live stream or another external production tool: add a Custom Speaker Join URL when speakers should join somewhere other than the attendee-facing talk page.

  • Pre-recorded talk: speakers do not need to attend live unless you have asked them to help with chat, Q&A, or polls.


By default, HeySummit sends assigned speakers reminder emails 24 hours and 1 hour before the talk. You can turn these reminders off in the talk's broadcast settings. HeySummit cannot send them when the speaker does not have an email address.


How the speaker joins

  1. The speaker opens their reminder email or signs in to the Speaker Dashboard and selects My Talks.

  2. Before the live window, the talk shows a Preview action. When the broadcast is starting or running, it changes to Join Talk.

  3. For a native webinar, Join Talk opens the speaker-specific webinar link. For other delivery types, it opens the HeySummit talk page or the custom speaker destination you configured.


Keep a backup link

From Content > Talks, open Copy Broadcast Links to copy the current links for hosts, speakers, panelists, and moderators. Send the relevant link directly if a reminder email is missing, and complete a test event or dry run before the real session.
