How Does HeySummit Determine Giveaway Winners?

Written by Benjamin Dell

HeySummit makes a weighted random selection from eligible attendees. They need a completed registration, an email address, accepted event terms and no giveaway-exclusion flag. Attendees deactivated by a new evergreen cohort are excluded. Host user emails, active presenter user emails and the event owner's email are also excluded. An event owner who is inactive, or has a canceled or unpaid plan, cannot have winners selected.

Entries and ticket eligibility

  • Each eligible attendee starts with one entry. Each recorded viral incentive adds one entry, and a recorded social-share action adds one more. This weighting does not independently prove that an external social post was published.

  • Separate giveaways check their own ticket restrictions. Bundled draws use event-wide eligibility and do not combine individual prizes' ticket restrictions.

Attendance requirements

  1. Go to Marketing > Offers & Giveaways > Giveaway Settings.

  2. Enable Only Select Winners from Attendees Who Attended? if attendance is required. Choose Attendance Type Required, then Save.

  3. For live or replay attendance, a separate session giveaway checks the linked sessions; event-wide and bundled draws check attendance across the event. In-person attendance requires the event's in-person mode and a scanned event ticket.

When draws run

Automatic generation is enabled by default. For event-level or bundled draws, set an explicit Winner for Event Giveaways (or Bundle) To Be Generated At? date and time when you need a predictable schedule. Separate session draws use Session Giveaway Timing: session end, a delay after the end, or the event/bundle date and time. End-based rules wait for the latest applicable linked-session end. Older events without a saved timing mode retain a legacy rule based on 24 hours after the session starts. An individual giveaway can override the event default with a custom date or manual generation. Use Generate Winners from a giveaway's actions for manual generation when available. It requires confirmation because it selects winners and sends emails.

Repeat winners and replacements

An individual draw excludes an attendee already selected in that draw. Allow Attendes to Win More Than One Giveaway? controls whether previous event giveaway winners can win again. When disabled, historical winner records also exclude them. To replace an active winner, use Replace Winner under Marketing > Offers & Giveaways > Winners. The redraw excludes current and historical holders of the affected prizes. Separate prizes keep their current ticket and linked-session rules; bundled awards keep event-wide eligibility.

Results and notifications

If no eligible attendee is found for a separate giveaway, it records No Giveaway Winners Found. It does not choose someone outside the eligible pool. A selected winner receives the winner email. A separate giveaway notifies its direct presenter or sponsor, otherwise its session presenters, otherwise the organiser when there is no linked provider or session. Bundled awards notify the organiser. Review eligibility and settings before retrying.
