Troubleshoot a missing speaker join link

Check the webinar host, talk setup, and fallback join URL when a speaker link is missing.

Written by Benjamin Dell

For a native webinar talk, HeySummit normally stores a provider-generated join link for each assigned speaker or panellist. If a link is missing, check the webinar connection and talk setup before changing anyone's email address.

Check the webinar setup

  1. Go to Setup > Webinar Hosts and confirm the host used by the talk is connected and active.

  2. Open the talk under Content > Talks and confirm it uses the intended webinar host and provider session.

  3. Make sure the correct speaker is assigned to the talk and that their speaker profile has the intended email address.

  4. Save the talk, then use Copy Broadcast Links from the Talks page to check the current host, speaker, panellist, and moderator links.

Do not change the speaker or host email solely because the same person fills both roles. Current HeySummit behavior can use the host's start link when the speaker and webinar host are the same person.

Use a safe fallback

If the provider does not return a usable speaker link, add a Custom Join Broadcast URL for that speaker or a talk-level custom speaker join URL. Use a host or presenter destination, not the attendee-facing webinar link, unless your provider explicitly uses the same URL for both roles.

If the link is still missing

Reconnect the webinar host, then try the talk again. If the problem continues, contact [email protected] with the provider name, talk title, affected speaker, and exact error shown in HeySummit. Do not send passwords, API keys, or provider credentials.
