Troubleshoot webinar host connections

Check host status, account access, browser sessions, and overlapping talks when a webinar provider will not connect.

Written by Benjamin Dell

Use these checks when a webinar provider will not connect to a host, a connected host shows an error, or the wrong provider account is being used.

Check the host status first

  1. Go to Event Setup > Webinar Hosts.

  2. Find the affected host and select its Error, Not Connected, or Active status label.

  3. Read the status details before reconnecting. HeySummit shows a provider error there when one is available.

  4. If you opened the dashboard through a custom event domain, use the page's Continue action to open Webinar Hosts through your HeySummit subdomain, then try the connection again.

Connect the intended provider account

  • Make sure you are signed in to the provider account you intend to use for this host.

  • Check the provider's own account permissions and product capabilities. HeySummit cannot add permissions or webinar capacity that the provider account does not have.

  • If the host manages their own account, they must sign in to HeySummit and connect or reconnect the provider themselves. The host card identifies accounts managed by the user.

  • If you manage the host, use the host's provider action to reconnect it after correcting the provider account.

Check multiple hosts and overlapping talks

Each talk using a native webinar provider is linked to a host. If talks overlap, review the host assigned to each talk and check the provider's own rules for simultaneous sessions. Use separate suitable provider accounts or adjust the schedule when the connected account cannot run those sessions at the same time.

Clear browser account conflicts

  • Sign out of other accounts for the same webinar provider before connecting.

  • Use a fresh private or incognito window when connecting different provider accounts to different hosts.

  • Allow JavaScript, cookies, and the provider's sign-in redirects while completing the connection.

If the connection still fails

Contact [email protected] with the event URL, host name, provider name, the status or error shown in Webinar Hosts, and the troubleshooting steps you already tried. For the normal setup flow, see How to connect your webinar account.
