Send calendar invites to speakers

Use speaker calendar invites when you want speakers, hosts, panelists, or moderators to receive an emailed calendar file for the talk they are part of. HeySummit sends these as email attachments, so the way they appear depends on the recipient's email and calendar app, such as Gmail, Outlook, or Apple Calendar.

Send invites from the speaker list

Go to Content > Speakers, open the ... menu next to the speaker, and choose Send Talk Calendar Invites.

HeySummit sends invites for that speaker's active upcoming talks. The speaker list also shows whether manual talk calendar invites have been sent for a speaker.

Send invites from a specific talk

You can also send invites for one talk at a time. Go to Content > Talks, open the action menu for the talk, and choose Send Calendar Invite(s).

The side panel lets you select the linked hosts, speakers, panelists, and moderators who should receive the invite. People without an email address cannot be selected. For each person, HeySummit shows whether no invite has been sent yet, a previous invite was sent, or the last invite failed.

Automatic speaker calendar invites

If you would rather send speaker calendar invites automatically, enable Automatically Send Speaker Calendar Invites? in your speaker workflow settings. When enabled, HeySummit emails active speakers when a talk timeslot is assigned or changed.

Leave automatic invites off if you prefer to manually tell speakers when their talk details are ready.

What speakers receive

Speakers receive an email with a calendar file attached for the relevant talk. HeySummit can send the attachment, but the recipient's email or calendar provider decides how that invite is detected, displayed, and added to their calendar.
