Send calendar invites to speakers

Written by Holly

Send a presenter calendar invite to email a calendar file for an upcoming session to a speaker, host, panelist or moderator. The recipient's email and calendar app determines how the attachment appears and is added to their calendar.

Send invites for one presenter

  1. Go to Content & Schedule > Presenters.

  2. Open the presenter's Actions menu and choose Send Session Calendar Invites. HeySummit sends an invite for each active upcoming session linked to that presenter.

The Invitations column includes the calendar status. Calendar sent records a successful manual send from this presenter action; Calendar not sent means that marker has not been set. This marker is not a complete delivery history for automatic or session bulk invites.

Send invites for selected sessions

  1. Go to Content & Schedule > Sessions and select one or more future sessions.

  2. Choose Bulk actions > Send Calendar Invites.

  3. Review the confirmation, then select Send Calendar Invites when you are ready to send.

The bulk action queues one invite for every active presenter with an email address linked to each eligible session. The session must be future, active and non-cancelled; Library and Course events are excluded. A presenter linked to several selected sessions receives an invite for each session. Archived events and accounts in hibernation cannot use these organiser send actions.

Send automatically

Go to Event Settings > Event Experience > Presenter Experience > Presenter Notifications. Turn on Automatically Send Presenter Calendar Invites? and Save. This setting is off by default. When enabled, it queues invites when a future eligible session's title or scheduled time changes, or an active presenter is newly assigned to it. Presenters need a saved email address for all sending methods.
