Managing Your Speakers Settings

Choose what invited speakers can see and manage from the Speaker Dashboard.

Written by Holly

Presenter Experience controls what invited speakers can see and manage from their Speaker Dashboard. It also includes public visibility and presenter record settings, so some options affect public event pages or other event records.

Open the settings

From your event dashboard, go to Event Settings > Event Experience > Presenter Experience. Review the sections below, then select Save to apply your changes.

Dashboard and profile permissions

  • Welcome Message: add a team welcome photo or welcome video.

  • Display: hide old talks, control attendee numbers and insights, and choose the referral leaderboard display.

  • Presenter Profile: allow presenters to edit their own profile, add an intro video or set their timezone.

  • Offers & Giveaways: control whether presenters can add their own offers and giveaways.

  • Managing Session Details: allow changes to the session title, broadcast details or replay details. Broadcast and replay permissions are separate.

Presenters see the matching Broadcast or Replay step when its permission is enabled. Some advanced controls remain organiser-only, including webinar integrations, speaker join URLs, embedded chat settings, reminders and playback settings.

Choose how sessions are scheduled

  • Manual: you create sessions and assign presenters yourself.

  • Availability Windows: presenters request a time from your available windows for you to review.

  • Open Slots: presenters claim scheduled unassigned slots you create in advance. Claims take effect immediately, without an approval step.

Presenter Experience scheduling modes, immediate open-slot claims and minimum/maximum limits

Create open slots

  1. Under How Are Presenter Sessions Scheduled?, choose Open Slots.

  2. Set Minimum open slots per presenter and Maximum open slots per presenter, then Save. The maximum must be at least the minimum.

  3. Go to Content & Schedule > Sessions and open the page's ... menu, then Generate Open Slots. Choose Generate Multiple Slots for a range of dates and times, or Add One Open Slot for one extra slot. You can also open the multiple-slot generator from the scheduling section's generator here link.

  4. Review the dates, times, duration, gap, categories, stage and broadcast type before creating the slots.

The generator uses your event timezone, creates future slots and skips times that overlap the existing schedule, including sessions that started the previous day and run overnight. It allows up to 200 slots at a time. The single-slot form rejects an overlapping time. Presenters see slots after you create them; a claimed slot becomes one of their sessions, subject to your editing permissions and maximum claim limit.

Records, public visibility and notifications

  • Presenter Records: optionally create attendee records using a selected ticket, or set presenters as affiliates.

  • Public Visibility: choose whether presenters without linked sessions appear on public event pages.

  • Presenter Notifications: choose whether to send presenter calendar invites automatically.

  • Downloading Attendee Emails: allow downloads for presenters' own sessions and optionally restrict this to specific presenters.

If presenters can download attendee email addresses, explain that sharing in your attendee terms and privacy wording, and make sure presenters use the list appropriately.
