Create a custom event email

Create a one-off broadcast or an automated email sequence for a selected event audience.

Written by Benjamin Dell

Create an automated campaign or a one-off broadcast when the built-in transactional emails do not cover your message. You need permission to manage event emails and a plan with Email Broadcasts & Sequences. Trial accounts cannot create these emails. Creation can also be unavailable while the account is past due or its email/security checks are incomplete. Editing content requires the email-customisation feature.

Create the email

  1. Go to Email & SMS > Emails and choose Create email.

  2. Choose Automated email for a campaign that sends when recipients match its trigger, or One-off broadcast for one send to your chosen audience. Choosing a type creates a draft.

  3. In Content, choose the Sender, add the Subject, and write the email. Use only mail merge fields available for that email and audience.

  4. In Audience, choose the audience type and add the filters you need.

  5. In Scheduling, review when sending should begin. A one-off broadcast can send as soon as it is published or start on a chosen date. Automated emails can have start and stop dates.

  6. In Settings, add an internal title and description and review the available options. These internal details are not shown to recipients.

  7. Choose Save and Close.

Review before publishing

From the email's Actions menu, use Preview email and Send test to check the result. Send test emails the address on your HeySummit account. Choose Publish email only when the content, audience and schedule are ready. Publishing activates the email and can start sending when its trigger or scheduled time is reached; a broadcast without a future start date may begin sending immediately.

When settings are locked

  • Transactional emails have a fixed audience and delivery trigger.

  • Follow-up emails inherit their parent email's audience.

  • A one-off broadcast becomes read-only after it has been sent. This does not mean every automated email locks after its first send.

  • Use Duplicate email on an eligible parent automated email or broadcast when you need a new unpublished copy.
