Connect Airtable to send event attendee details and registration answers from HeySummit to a table in your base. The sync is one-way, from HeySummit to Airtable. HeySummit continues to send your event emails separately.
Before you start
Your HeySummit plan must include direct CRM and email integrations.
You need access to the Airtable base and table that should receive the registrations. Create the destination fields before mapping them.
Use a writable Email or Single line text field for attendee email addresses.
Check existing records for duplicate email addresses. HeySummit matches trimmed, case-insensitive email addresses. It updates a matching record or creates one if there is no match. If several records match, the sync stops until you resolve the duplicates.
Connect your Airtable account
In your event dashboard, open Event Settings > Integrations & Developer > Integrations.
Under CRM & Email Integrations, choose Add.
Select Airtable, then choose Connect.
Follow Airtable's authorization steps and grant access to the intended base. The connection requests permission to read and write records and read base schemas.
Select the table and map fields
After connecting, select the Base and Table.
Select the Email field used to match attendees.
Map attendee details and custom registration answers to the existing Airtable fields you want to populate.
Review the mappings, then choose Save.
The email field is reserved for attendee email. Map each other destination field only once.
Supported writable fields include text, email, URL, phone, number, currency, percent, checkbox, date, date-time and single select. Calculated, read-only and unsupported fields are excluded.
Single-select values must already exist as options in Airtable. HeySummit does not create new select options.
Unmapped fields stay unchanged.
Changing the base or table clears dependent choices. Reselect the email field and review your mappings before saving.
Sync new and existing attendees
New eligible completed registrations sync automatically after you save the integration. To send existing eligible attendees, open the integration's action menu and choose Resync Attendees.
If your event uses HeySummit's GDPR marketing opt-in checkbox, attendees who opt out of marketing emails are not synced.
The Airtable integration does not replace HeySummit event emails or change attendees' event-email preferences.
Check that your consent and privacy policy cover how you use the exported attendee data.
If the connection or sync fails
If a base is missing or access is denied, check that you granted access to the intended base. Reconnect if authorization was revoked.
If several Airtable records have the same email address, resolve the duplicates before resyncing.
If Airtable rejects a value, review the mapped field type, the value and any existing single-select options.
If you change a table's fields, review the integration's email field and mappings before resyncing.
For the shared integration workflow, see CRM & Email Integrations.
