Your talks are ready to go, but you want to check exactly how many HeySummit emails are sent to your attendees during your event.
Schedule Updated emails
HeySummit can send a Schedule Updated email when an attendee adds future sessions that were not covered by their original schedule email. This includes sessions added through attendee self-service or direct talk registration, as well as sessions added through the HeySummit API or MCP.
The email is sent only when the attendee has agreed to receive conference information.
For existing events, the template was added unpublished. New events have it enabled by default.
If no original schedule email was sent, the update email becomes eligible after the attendee has been registered for at least 24 hours.
Go to Emails to preview, edit, publish, or unpublish the message.
If you've ticked the option to have 'Required To Choose Talks?' (see Related Article "You want to limit the number of emails your attendees are receiving" below), this means that all attendees will only be signed up for the talks they've purposely chosen. Therefore, when your summit goes live, if an attendee has signed up for a single talk, they will receive:
1 Daily Digest
1 We're starting in under an hour
1 We're starting now
1 Your replay links and exclusive offers
If they've signed up for 2, they will get
1 Daily Digest
2 We're starting in under an hour (1 email for each talk they're booked into)
2 We're starting now (1 email for each talk they're booked into)
1 Your replay links and exclusive offers
Every attendee, no matter if they've signed up for 1 or 20 talks, will only receive ONE Daily Digest and ONE Your replay links and exclusive offers email blast.
If you've unticked the option to have 'Required To Choose Talks?', all attendees will be automatically signed up for all sessions. This means that for every talk you have in your summit (let's call this x), once your summit goes live, they will get:
1 Daily Digest
x number of We're starting in under an hour (1 email for each talk they're booked into)
x number of We're starting now (1 email for each talk they're booked into)
1 Your replay links and exclusive offers
If you are worried that this is too overwhelming for your attendees, you can turn off email alerts for your talks by following these steps:
Head to Emails.
Click on the three dots (...) next to an email record then select Unpublish or you can simply click the toggle button that says 'Live' to turn off the email record.
Note that these emails (Daily Digest, reminder and replay emails) never include the bare links to webinars or livestreams, only the link to the HeySummit talk page where they will be redirected to the appropriate platform if logged in with the correct ticket.
