HeySummit and your webinar provider can show different numbers because they may be counting different stages of the attendee journey. Compare the same group and status before treating the difference as a sync problem.
Understand what each count represents
Scheduled for the talk: the attendee added the talk to their HeySummit schedule.
Completed order: the attendee completed checkout and has eligible event access.
Webinar registrant: a native provider accepted the attendee registration and, where supported, returned a join link.
Live attendance: the provider recorded that the person actually joined the webinar. This will not necessarily match registrations.
Check the talk's delivery type
Native webinar integration: HeySummit queues eligible completed-order attendees for provider registration. A temporary provider error or account setting can leave some registrations pending.
Custom URL or another non-native stream: HeySummit can track the talk schedule, but it does not create registrant or attendance records in the external provider. Use that provider's report for people who joined there.
Check the sync status
Go to Content > Talks and review the status shown for the talk.
If HeySummit says it is syncing attendees, allow the background sync to finish before comparing totals again.
If you see API Syncing Disabled, open the message and correct the provider-side issue it describes. Common causes include provider registration being disabled, a provider capacity limit, an unsupported required provider field, or a finished webinar.
After correcting the provider setting, use Resync Webinar Attendees from the talk's action menu.
Compare like for like
A pending checkout, missing email address, or incomplete terms acceptance is not eligible for native provider registration. Provider registration windows also vary, so avoid comparing a HeySummit schedule total directly with a provider's live-attendance total.
